When you need to delete a person's data from BrightManager under a GDPR request, and that person is linked to more than one client file, BrightManager requires you to nominate a replacement person before the deletion can proceed. This article explains what happens during this process and how to complete it correctly.
Before you start
- You must have the appropriate permissions to perform GDPR deletions in BrightManager.
- Review which client files the person is linked to before initiating the deletion. You can identify this from the person's profile.
- A GDPR delete at the person level is permanent and cannot be undone. Confirm you have the right person before proceeding.

When a replacement person is required
If the person you are deleting is linked to more than one client file as a Main Contact or Secondary Contact, BrightManager will prompt you to select a replacement person. You can either:
- Select an existing person profile from BrightManager to act as the replacement, or
- Create a new person profile to use as the replacement.
What happens during the deletion
- Initiate the GDPR delete from the person's profile in BrightManager.
- BrightManager identifies all client files where this person is linked as a Main Contact or Secondary Contact.
- You are prompted to select or create a replacement person.
- Once you confirm, BrightManager creates a new contact profile for the replacement person on each affected client file.
- The original person's data is deleted.
What happens next
- Each affected client file will have a contact profile for the nominated replacement person.
- The deleted person's data is removed from BrightManager.
- Any synchronisation with BrightClient for the affected client files will reflect the updated contact information.

Troubleshooting
I cannot find a suitable replacement person in BrightManager
If no existing person profile is appropriate, select the option to create a new person profile during the deletion workflow.
The GDPR delete option is not available on the person's profile
Check that your user account has the appropriate permissions to perform GDPR deletions. If the option is still unavailable, contact your system administrator.
